Overview
PoolBoss lets you set what every visit must include: before and after photos, any of the seven standard readings, and checklist items that can be required, need a photo, or come up every Nth visit. A tech missing something is warned before completing and must give a reason, which the office sees. A reading you set to block has to be entered before the visit can be completed. Each service type, like a filter clean or an opening, can carry its own checklist and its own required readings.
Service types, checklists & completion rules
What you can do
A checklist for each service, tuned for each pool
Your company checklist covers every visit by default. Any service type, such as a weekly clean, a filter clean, a green-to-clean, or an opening or closing, can have its own checklist in its place. Each item can be required, can need a photo, and can come up on every visit or every Nth visit, from every 2nd to every 52nd, counted from that pool's completed visits. That's how a filter clean shows up every eighth week without anyone remembering it.
Each pool can drop company items it doesn't need and add its own. Adding an item with the same name as a company item replaces it for that pool. When a visit is completed, its checklist is saved with it, along with which service's checklist it was, so editing or deleting a checklist later never rewrites past visits.
In the route builder, the office picks the service type for each stop. The tech's phone then shows that service's checklist on the stop, with or without signal, titled with the service's name. A service left on the company checklist keeps using it. More on the phone side in the tech app.
- A checklist of its own for any service type, or the company checklist
- Items can be required, need a photo, or repeat every Nth visit
- Per-pool additions and removals
- Completed visits keep the checklist they answered

What happens when something is missing
Before a tech completes a visit, the tech app checks it against your requirements: the readings you require, a before photo, an after photo, required checklist items, and item photos. If anything is missing, the warning names it and the tech picks or types a reason to finish anyway. A reading you set to block is different: the app won't complete the visit and takes the tech to the missing reading. Each service type can use the company's reading rule or its own, so a filter clean can block on pH while a weekly clean only warns. It works offline and syncs later.
Every override is saved with the tech, the time, the reason, and what was missing, and the office reviews them on the Completion overrides page. You see a pattern, like one tech skipping the after photo every Friday, instead of finding out from a customer. See how that fits managing your techs.

Service types that carry their own rules
A service type, such as a filter clean or a green-pool recovery, carries a default price, what it costs you, and up to 20 default line items that fill in on a new job. It can have its own visit checklist and its own required readings. It can also carry rules. Require checklist makes every item on a visit of that type required. Require photo stops a job of that type from being marked complete until a photo is attached to one of its visits.
Alert office puts a new, unscheduled job of that type on the dashboard's needs-attention list until someone schedules it. A tech list limits who can be assigned visits and jobs of that type, so a new hire can't be put on a heater repair. More on jobs in quotes, jobs, and repairs.
- Require checklist: every item on that visit becomes required
- Require photo: the job can't be completed without one
- Alert office: the job sits on the needs-attention list until scheduled
- Limit to techs: only those techs can be assigned

Why PoolBoss
Why pool pros choose PoolBoss
Built for pools, not bolted on
Water chemistry is the job, so it's the core of the product, not a notes field. Generic field-service tools don't track it.
Flat rate by pool count
You pay by how many pools you manage. No per-seat fees, no per-pool meter, and no surprise line on the bill as you grow.
Every feature on every plan
Nothing is locked to a higher tier. The Free plan has the same features as Fleet. Plans differ only by pool count.
Works in the field
The tech app runs on any phone and keeps working with no signal, so a visit completes at the pool and syncs when you're back on.
“Solid choice. I recommend it without hesitation.”

How it works
Service types, checklists & completion rules at a glance
- What it does
- PoolBoss checks every visit against the photos, readings, and checklist items you require, and logs the tech's reason whenever a visit is completed with something missing.
- What you enter
- Checklist items, each marked required, photo required, or every Nth visit
- A checklist and a required-readings rule for any service type that needs its own
- The service type on each route stop, picked in the route builder
- Per-pool additions and removals
- Which readings every visit needs, each set to warn or block, and whether it needs a before and an after photo
- Service types with a default price, cost, default line items, and rules
- What PoolBoss does
- Shows each visit the checklist for its service type, or the company checklist, with the pool's own items and items due only every Nth visit
- Applies a service type's own required-readings rule to its visits, and names the service when a reading blocks completion
- Keeps each completed visit's checklist answers and which service's checklist it used, even after that checklist changes
- Warns before a visit is completed with a required reading, photo, or checklist item missing, names what's missing, and asks for a reason
- Won't complete a visit missing a reading set to block, and points the tech to it
- Counts a required salt reading only on salt pools
- Lists visits that reached the office without a required reading, for example one queued offline before a rule changed, without dropping the visit
- Logs every override with the tech, time, reason, and missing items
- Refuses to complete a job whose service type requires a photo until one is attached to its visits
- Puts an unscheduled job on the dashboard's needs-attention list when its service type is set to alert the office
- Stops a visit or job from being assigned to a tech who isn't on that service type's list
- Who sees it
- Technicians: the service's checklist and the completion warning in the app, offline too
- Office: the Completion overrides page, including visits completed without a required reading, and the needs-attention list
- Admins: the completion requirements, the checklist, and service type rules
- What you can set
- Each of the seven standard readings as not required, warn, or block (free chlorine and pH on warn by default)
- Before photo and after photo as requirements, each on or off (both on by default)
- Required, photo required, and every Nth visit on each checklist item
- Per service type: its own checklist or the company's, and its own required-readings rule or the company's
- Per service type: require checklist, require photo, alert office, and which techs can be assigned
FAQ
Common questions
Can I require photos on a pool service visit?
Yes. PoolBoss can require a before photo and an after photo on every visit, and both are on by default. Checklist items can each require their own photo too. If a photo is missing, the tech is warned before completing and has to give a reason to finish, and the office sees that reason. For jobs, a service type can require a photo, and then the job can't be marked complete until one is attached.
Can a technician complete a visit with a required item missing?
Usually, with a reason. PoolBoss warns the tech and names what's missing, whether that's a reading, a photo, or a checklist item, and the tech picks or types a reason to finish. The override is saved with the tech, the time, the reason, and what was missing, and the office reviews them on the Completion overrides page. The exception is a reading you set to block: the app won't complete the visit until it's entered. For photos and checklist items the tech gives a reason instead, because a broken camera or a locked equipment pad shouldn't stop a tech from closing out the stop.
Can I make a checklist item required only on some visits?
Yes. Any checklist item can come up every Nth visit, from every 2nd to every 52nd, counted from the pool's completed visits. A filter clean every eighth visit or a salt cell check every twelfth shows up on the right visit without anyone tracking it. Required and photo-required still apply on the visits where the item appears.
Can each service type have its own checklist?
Yes. A weekly clean, a filter clean, a green-to-clean, or an opening can each have its own checklist and its own rule for which readings are required. The office picks the service type for each stop in the route builder, and the tech's phone shows that service's checklist, offline too. A service without its own list uses the company checklist. Each completed visit keeps the checklist it answered, so changing a list later never changes past visits.
Can each pool have its own checklist?
Each pool starts from its visit's checklist, the company's or the service type's, and can drop items it doesn't need or add its own. Adding an item with the same name as a company item replaces that item for that pool.
Can I restrict a service type to certain technicians?
Yes. Give a service type a list of techs and PoolBoss won't let a visit or job of that type be assigned to anyone else, whether it's a new visit, a reassignment, or a route edit. Removing a tech from the list leaves work they already have in place.
Do checklists and completion warnings work offline?
Yes. The tech sees the checklist and the completion warning offline, and the visit and any override sync when the phone reconnects. Offline, items due every Nth visit show on every visit rather than risk hiding one that's due. The photo requirement on jobs and the tech list are checked when the change reaches the server.
